How we use your information
We use your information to reply to you, supply what you order and run the business. Data protection law requires us to have a lawful basis for each use, shown below.

What we use it for Our lawful basis

Who we share it with
We never sell your information or pass it to anyone for their own marketing. We only share it with people who help us run the business, and only what they need:

  • Meta (Facebook and Instagram), which hosts the enquiry forms on our ads. Meta also handles information under its own privacy policy when you use its apps.
  • Our email, phone and IT providers, which store our emails, files and records.
  • Our accountant, who helps us keep our financial records.
  • A courier, only if one is used to deliver your order, and only the delivery details they need.
  • Government bodies such as HMRC, when the law requires us to.

Information stored outside the UK
Some of the companies we use, including Meta and our email providers, may store information outside the UK, for example in the USA or the European Economic Area. When that happens, we make sure it is protected to UK standards, using either a UK government adequacy decision or the standard contract terms approved by the ICO.

How long we keep it
We keep your information only for as long as we need it, then delete it securely.

Type of information How long we keep it
Enquiries that don't lead to an order 12 months from our last contact with you
Customer, order and invoice records 6 years after the end of the financial year they relate to, as tax law requires
Your marketing preferences Until you tell us to stop, after which we keep a note so we don't contact you again

Your rights
You can ask us at any time to:

  • give you a copy of the information we hold about you
  • correct anything that is wrong or incomplete
  • delete your information
  • stop or limit how we use it
  • send your information to you or another company in a format that is easy to use.
  • stop sending you marketing, or withdraw any consent you have given

To make a request, email info@jpoils.co.uk with or call 01257 472 644. It is free, and we will reply within one month. Some rights have limits, for example we have to keep invoices for tax, and if one applies we will explain why.

Cookies
Cookies are small files a website saves on your device. Our website only uses cookies it needs to work properly, and we don't use cookies to track you or show you adverts. If that changes, we will update this policy and ask for your permission first where the law requires it.

Keeping your information secure
We keep your information on password-protected systems that only JP Oils staff who need it can access. Our IT and email providers use security measures such as encryption, and if something ever went wrong that put your information at risk, we would tell you and the ICO where the law requires it.

How to complain
If you are unhappy with how we have handled your information, please tell us first so we can put it right. Email info@jpoils.co.uk with "Privacy complaint" in the subject line, or write to us at PO Box 384, Wigan WN6 8WY. We will acknowledge your complaint within 30 days and keep you updated until it is resolved.

If you are still not happy, you can complain to the Information Commissioner's Office (ICO), the UK's data protection regulator, at ico.org.uk/make-a-complaint or on 0303 123 1113.
